Privacy Policy

GoldenCircle helps you remember the people who matter. This policy explains what we collect, how we use it, and the control you have over your information.

1. Overview

GoldenCircle is a personal and team relationship system. You use it to save the people who matter to you, keep notes and context about them, and ask AI playbooks what to do next. This Privacy Policy explains what information GoldenCircle (referred to here as GoldenCircle, we, us, or our) collects, how we use it, who we share it with, and the choices you have. It applies to our website, web application, and mobile and desktop apps (together, the Service).

Because the Service is built to store information about other people in your life, this policy also describes the responsibilities you take on when you add that information. Please read the Contacts section carefully.

2. Information we collect

Account and identity information. When you create an account, we use our authentication provider (WorkOS) to sign you in. We store your name, email address, whether your email is verified, an optional profile photo, and basic sign-in metadata such as the time you last signed in.

Information you add about your contacts (People). The core of the Service is the information you choose to save about other people. This can include their name, phone numbers, email addresses, company, role, pronouns, birthday, a photo, your relationship to them, and any notes, details, history, or commitments you record. You decide what to add.

Notes, transcripts, and action items. We store the notes you write, meeting notes and transcripts you create, and action items or reminders generated from them.

Conversations with AI. When you ask a question or run a playbook, we store the conversation, including your messages and the responses generated for you.

Audio you choose to transcribe. If you use live transcription, your audio is streamed directly from your device to our transcription provider (AssemblyAI) and returned to you as text. We store the resulting transcript text; we do not store the underlying audio recording on our servers.

Billing information. If you subscribe to a paid plan, payments are processed by Stripe. We do not see or store your full card number. We keep a record of your subscription status, plan, billing email, and related events so we can manage your account.

Usage, device, and log information. To operate the Service securely, we record technical information such as your IP address, browser or device type, an optional device label you provide, session activity, and request logs. We also keep internal records of feature usage (for example, how many AI requests an account has made) to enforce plan limits.

Cookies. On the web we use a single secure, HttpOnly session cookie to keep you signed in. We do not use third-party advertising or cross-site tracking cookies.

3. How we use your information

  • To provide, operate, and maintain the Service and your account.
  • To deliver the features you request, including saving people and notes, transcription, search, and AI playbooks and answers.
  • To process payments, manage subscriptions and trials, and enforce plan limits.
  • To secure the Service, detect and prevent abuse, and protect you and other users.
  • To send you transactional messages and, where you have enabled them, optional reminder and digest emails.
  • To improve the Service and develop new features.
  • To comply with legal obligations and enforce our Terms of Service.

4. AI features and how your content is processed

When you use AI features, relevant content (such as your messages, notes, and information about the people involved) is sent to third-party AI providers so they can generate a response for you. Depending on the feature and model you choose, these providers may include Anthropic, OpenAI, and Google.

To power search and to help find relevant people and notes, we also create numerical representations (embeddings) of your notes and contacts using OpenAI, and store those embeddings in our database.

We do not sell your data, and we do not use your content to train our own models. We send your content to AI providers only to deliver the features you ask for, and, under their applicable terms for business and developer use, those providers do not use content sent through their APIs to train their models. AI output can be inaccurate or incomplete and should not be relied on as professional advice.

5. How we share information

We do not sell your personal information. We share it only with service providers who help us operate the Service, and only as needed to provide it to you. Our key providers are:

Equivalent protection. Each of these providers acts as our service provider under a written agreement that requires them to protect your information with safeguards at least equivalent to our own and to use it only to provide the Service to you.

Workspaces and sharing. If you use a shared workspace, people and notes you mark as visible to the team can be seen by other members of that workspace. Notes and contacts you keep private remain visible only to you.

Profile photo matching. If you add a photo of yourself and enable photo sharing, other users who already have your phone number or email may see that photo on their copy of your contact. You can turn this off in your settings.

Legal and safety. We may disclose information if required by law, to respond to valid legal process, to enforce our terms, or to protect the rights, safety, and security of our users and the public. If GoldenCircle is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

6. Data retention and deletion

We keep your information for as long as your account is active or as needed to provide the Service. You can delete individual people, notes, and conversations at any time from within the app.

You may request deletion of your account and associated personal data by contacting us at the address below. When you delete your account, we remove or anonymize your personal data, except where we are required to retain certain records (for example, billing records) to meet legal obligations. Some information may persist for a limited time in backups before being overwritten.

7. Security

We protect your information using industry-standard measures, including encryption in transit, scoped access controls that isolate each account and workspace, per-device sessions you can review and revoke, and the ability to sign out of all devices at once. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your rights and choices

  • Access and correction: you can view and edit your profile, people, and notes directly in the app.
  • Deletion: you can delete your content in the app, or request deletion of your account by contacting us.
  • Email preferences: you can turn reminder and digest emails on or off in your settings.
  • Sessions: you can review your active devices and revoke any session, or sign out everywhere.
  • Profile photo sharing: you can control whether your self-photo is shared with people who match by phone or email.

Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, including the right to access, correct, delete, or port your data, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details below.

9. Information about other people

When you add information about other people to GoldenCircle, you are responsible for handling that information appropriately and lawfully. You should only save information you are entitled to keep, and you should respect the privacy of the people you record. If someone asks you to remove their information, please do so. If you contact us on their behalf, we will help where we reasonably can.

10. International data transfers

We and our service providers may process and store your information in countries other than the one in which you live. Where we transfer personal data across borders, we take steps to ensure it receives an adequate level of protection consistent with applicable law.

11. Children and minimum age

GoldenCircle is intended for people aged 13 and older. The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it. If you are between 13 and the age of majority where you live, you may use the Service only with the involvement of a parent or guardian.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you in the app or by email. Your continued use of the Service after an update means you accept the revised policy.
